When should I use the online request form for a repair service and/or the telephone Help Desk to report a fault?

If your fault/request is an emergency please contact the Help Desk directly, otherwise for all other faults please notify us online using a Repairs and Maintenance Request Form

My office is too hot/too cold. Can I get this investigated?

If you have difficulties accessing our online Help Desk you can telephone on extension 1010.

If your office is hot/cold the following may help:

  • Is the heating switched on or is it that the room isn't’t getting warm due to draughts etc?
  • If there is a radiator that is working in your area but the room is cold, is the radiator covered up or is there furniture that’s very close to it?
  • Does your room have a radiator?  If yes, is it turned on?  The thermostatic Radiator Valves should be set no higher than 4
  • If “No”, is there an electrical switch in the room for a fan heater on the wall or ceiling?  If so, is it turned on?
  • Is the heating working in nearby rooms?

How can I find out about the maintenance service that I can expect, and who is responsible for funding?

My light bulbs are not working. How can I get them fixed?

Who pays for maintenance and repairs across the university?

The Estates and Facilities Department central budget fund all maintenance and repairs of university buildings with the exception of decorations, carpets, and blinds within dedicated accommodation.

If you wish to instigate building alteration works or have new equipment installed then these need to be funded by your Faculty or Central Support Department.

What do I do if I suspect Asbestos is present in the workplace?

Materials which contain asbestos are commonly found within existing buildings and provided that they are maintained in good condition and are not disturbed, they do not present a hazard to the health of occupants.  

The University maintains detailed records of the location and composition of such materials within its buildings and ‘manages’  those materials in order to avoid any uncontrolled disturbance. This is one good reason why all works which might affect the fabric or structure of a building should only be procured through E&FM.

I need extra electrical sockets in my office/room. How do I request these?

How do I request for someone to put up my notice board etc?

Can I track a maintenance request that was submitted by someone else?

No, you cannot track a request that was submitted by someone else but you can call the Help Desk on extension 1010 and we will be happy to assist you.

How do I get my keys replaced?

How can I help to reduce energy consumption and carbon emissions?

Since 1998/99 to 2006/07 we have achieved a reduction of CO2 emissions of 43% even taking into consideration an increase of 25% in student population.

All members of staff and students may assist in good energy management by ensuring that

  • Faults with heating / cooling systems are promptly reported to the Estates Department.
  • Doors and windows within air conditioned spaces are never left or wedged open.
  • Computer monitors are switched off when they are unattended.
  • Signs of water leakage, taps or showers that will not turn off are promptly reported to the Estates and Facilities Management Department for repair.
  • Shut down printers and copiers at the end of the day.
  • Make maximum use of natural daylight - turn off lights when leaving the office.
  • Do not leave electrical appliances in stand-by mode when they are no longer required - switch them off.
