Call transfer
To transfer any call, explain to the caller what you are going to do,
key R [hear dial tone] and then key number of the extension for the
call. If the extension answers, explain that you have a call for
them and replace receiver. The caller will be connected to the new
extension. If the other extension does not answer (or does not want
the call), key 2 to reclaim the call. If the other extension hangs
up before you have keyed 2 you may hear the unobtainable tone; simply
key 2 to return to the caller. You can of course repeat the operation
to try to transfer to a different extension. During a transfer operation,
i.e. after you have keyed R, the caller will be "on hold" and
will hear nothing until either connected to the new extension, or
you reclaim the call.
If you have another phone on the same number and wish to move a call
from one to the other, explain that you are going to move to another
phone, key R, hang up, then pick up the receiver on the other phone.
The call will be reclaimed.
Conference Calls
Up to 8 eight parties may be included whether internal extensions or
external telephone numbers. Adding participants to an existing call
is similar to transferring except that you do not drop out when the
next extension answers. To make a two-way call into a conference
(or expand a conference in progress), key R [hear dial tone] and
then dial the number of the extension to include. If the extension
answers, invite them to join. If they agree, key 3 and they will
be included. If they decline or there is no answer, key 2. Any member
of the conference may hang up at any time without affecting the connection
between the others. Note that if a conference call is in progress,
all parties will hear a conference warning tone at intervals.
Callback
If an extension is busy, or does not answer, the Callback facility
can be used. Callback (sometimes called "camp-on") registers
when the remote extension has the receiver replaced and informs the
would-be caller. If you get a busy tone (engaged) or no answer, key
6 [hear confirmation] and hang up. When the extension requested is
next hung up, the system will ring your phone using the fast callback
signal. If you pick up the receiver during the 16 rings (approx.),
the remote extension will be called. The callback request will remain
active for 2 hours. Specific callbacks can be cancelled by keying
#37*ext#. Use #37# to cancel all active callbacks.
Phone settings
The exchange uses Earth Loop Recall, not Timed Break so switch TB/ELR
to ELR.
The exchange prefers Multi-Frequency (Tone dialling) rather than Loop
Disconnect (Pulse dialling), and it is much quicker so set LD/MF to
MF,
Note that phones have volume controls for their bells/warblers etc.
It is possible to turn these off and so miss a lot of calls....
Call holding
To place a call on hold, press recall [hear dial tone]. Replace the
handset. The caller will hear nothing (silence) and so should be
warned before you do this.
Note:
After the call has been on hold for 30 seconds your extension will
ring automatically for 30 seconds. If you do not answer, the call will
time out or return to switchboard if forwarded from there.
To
pick up a call on hold from another extension: Lift handset, key the
extension number of the telephone where call is on hold [hear engaged
tone]. Key 8, you will now be connected to the call on hold.
